OVERVIEW:

 

Job Title: Office Administrator

Location: Anchorage

Job Type: In person / Full Time

Work Schedule: Based on project needs

Performance Evaluated by: Manager

ESSENTIAL JOB DUTIES: Supporting company operations in all aspects of construction projects.

 

Directly Responsible during the day-to-day operations for administrative and accounting functions by:

 

o Perform various daily, weekly and monthly administrative functions and process for all or some of the following: payroll, accounts payable, accounts receivable, contracts, material billings, equipment reporting, fuel reconciliation, purchasing card reconciliation and document control to ensure accuracy and timely completion in accordance with established procedures and compliance with Company policy, General Accepted Accounting Principles.

o Provide accurate and timely communication to the Manager on relevant issues to ensure key information is disseminated.

o Assist field operations with informational inquiries to ensure a productive work environment.

o Review and recommend changes as necessary to all contract and subcontract documents to ensure timely, accurate and efficient processing and compliance.

o Perform large job setups, contract billings and A/R collections to ensure accuracy, timeliness. 

o Collect, draft, and catalog project W9s, COIs, Subcontracts, Invoices, Online Portals, Pay applications, and etc. to ensure compliance with contract documents.

o Assist with internal audits and self-audits of all business functions to ensure that established internal controls are followed to maintain compliance with Caliber’s policies and procedures.

o Assist with HR, Recruitment, and On boarding. 

o Maintain and ensure proper quantities and stock of office equipment and materials. 

o Being a Team Player.

 

Assist during the construction phase by:

 

o Recording minutes of project coordination meetings and forward to the project manager for approval and dissemination to all parties

 

o Assisting with the electronic transfer of data between the superintendent and project manager

 

o Follow all company standards, systems, and policies

 

o Communicate daily with Manager, Superintendent, Subcontractors, and Clients as needed

 

o Maintain a weekly project checklist to assist the Manager with their weekly job coordination

 

o Assist and coordinate with project correspondence, required paperwork, documentation, and 

Notices.

 

o Assist Manager with monthly billing and schedule updates

 

o Communicate daily with the Manager and project superintendent to discuss project progress, requirements, and goals.

 

o Represent the Company to customers, subcontractors, suppliers, vendors, and employees in a professional manner

 

Education and Other Requirements:

  • Must be able to multitask (prioritize work), thrive in a fast-paced team environment, have great attention to detail, and possess excellent organizational skills.

  • Must be able to communicate effectively (both verbal and written) with subcontractors, suppliers, design professionals, clients, Superintendent and Project Manager.

  • Must be able to take direction and follow instructions.

  • Proficient in using a pc and be willing to learn how to use new software applications.

  • Be able to obtain and maintain military base access.

  • Have a reliable method of transportation to and from the jobsite

  • Fluent in all Microsoft office programs.

  • Must be able to sit for long periods of time

  • Ability to frequently repeat the same movements with arms, hands, wrist, and fingers. (Use fine manipulation, frequent to constant traditional keyboarding)

  • Use fingers to grasp, move, or assemble small objects

  • Ability to seldomly lift < 10lbs

  • Ability to reach overhead, at or below the shoulder

  • Ability to see details of objects that are less than a few feet away

  • Understand the speech of another person

  • Speak clearly so listeners can understand

  • Ability to focus on one source of sound and ignore others

  • Employee is regularly working indoors, in an office setting

  • Employee is regularly exposed to moderate noise levels

  • Employee is regularly exposed to loud noise, dust, airborne particles, fumes, and various types of smells

  • Employee will be required to wear personal protective equipment as needed to perform job tasks

  • Employee is expected to work in a safe and efficient manner while maintaining a clean work area
